Training Operations Specialist (Contract)
Job Description
Responsible for coordinating training programs, managing resources, and ensuring a high-quality learning environment to deliver efficient and exceptional learning experiences for all CelcomDigi learners and partners.
Responsibilities
Training Academy
- Plan, organize, and coordinate training sessions and workshops.
- Liaise with trainers, participants, and vendors for seamless execution.
- Manage scheduling, facilities, and training materials.
- Monitor training operations and logistics effectiveness; gather feedback for improvements.
- Maintain records of training activities and participant progress.
- Ensure compliance with policies, guidelines and safety standards.
- Prepare reports on training activities and outcomes.
- Assist in budget management and resource allocation.
- Lead and supervise support staff and trainers as needed.
- Oversee the quality and upkeep of the Training Academy and its training tools and assets.
- Manage training room and logistics requests, including layout setup and training tools.
- Coordinate food and beverage requirements, ensuring cleanliness and orderliness of the Training Academy.
- Manage weekly catering service requests, menu plans, and ensure high standards of food quality and cleanliness.
HRDC Claims Management
- Handle HRDC grant application and claim reimbursement ensuring proper documentation and compliance.
- Monitor and track HRDC fund utilization on a monthly basis, preparing reports and highlighting discrepancies.
- Maintain accurate records of all transactions related to invoices and HRDC claims.
- Liaise with vendors, internal departments, and external agencies regarding payments and claims.
- Assist in resolving issues related to invoice payments and HRDC claims promptly.
- Support in preparing reports and data analysis related to financial and HRDC activities.
Requirements
- This position is offered on a 2-year, 3rd party outsourced contract basis.
- 3–5 years of relevant experience in HR, training, customer experience, or a related field.
- Bachelor’s Degree in Business Administration, Human Resources, or any related discipline.
- Experience in training coordination, learning & development, or similar roles.
- Experience in HR-related environments or industries with a strong HR background.
- Strong stakeholder management, influencing, and interpersonal skills, with the ability to engage and resolve issues effectively with employees at all levels.
- Strong customer service and customer experience orientation.
- Proven ability to manage multiple priorities, work independently, and meet tight deadlines without compromising quality.
- Strong problem-solving, critical thinking, analytical, and decision-making skills.
- Strong organizational skills with a high level of attention to detail and quality consciousness.
- Strong integrity, professionalism, and ability to handle confidential matters appropriately.
- Financial acumen with experience in budget management and monitoring.
- Ability to ensure compliance with relevant statutory and regulatory requirements.
- Innovative and continuous-improvement mindset, particularly in training and people management.
- Ability to lead, manage, and inspire team members.
- Excellent verbal and written communication skills in English and Bahasa Malaysia.
- Proficient in Microsoft Excel, PowerPoint, and Word at minimum intermediate level.
- Proficient in HR systems, preferably SAP SuccessFactors.
- Strong system literacy and ability to adapt to digital HR platforms.
- Willingness and ability to travel as required.
