Warehouse Governance Specialist (Contract)
Job Description
The Warehouse Governance Specialist is responsible for establishing, monitoring, and continuously improving warehouse governance, inventory control, compliance, and operational standards across multiple locations. The role ensures warehouse operations, inventory processes, systems, and 3PL activities are aligned with company policies, regulatory requirements, and industry best practices.
Responsibilities
Data Integrity, Compliance & Inventory Governance
- Safeguard end-to-end inventory accuracy by monitoring daily stock movements and ensuring full traceability via adherence to internal controls, regulatory requirements, and industry standards across warehouse operations.
- Maintain comprehensive and auditable documentation for all inventory transactions to support traceability and recall readiness.
- Hold vendors accountable for reporting accuracy, process compliance, and operational discipline through regular reviews.
Stock Reconciliation & Inventory Control
- Oversee daily reconciliation between system records (SAP & Vendor WMS) and physical inventory to ensure data accuracy.
- Lead joint stock counts with cross-functional teams and external partners to investigate and resolve discrepancies to ensure 100% inventory integrity through timely escalation and resolution of variances.
- Execute Goods Receipt (GR) and Goods Issue (GI) transactions accurately to maintain up-to-date system records.
Technical Audit & Physical Verification
- Execute warehouse governance and audit programs aligned with organizational standards and risk controls.
- Conduct routine and ad-hoc physical verification of inbound and outbound shipments across locations both on-site and off-site inspections to validate stock accuracy against system data.
- Prepare detailed audit reports with findings, root cause analysis, and actionable recommendations.
Management Reporting & Advanced Analytics
- Develop and deliver daily stock-on-hand and inventory movement reports for operational and management visibility.
- Provide in-depth data analysis and insights to support strategic decision-making.
- Design and maintain performance dashboards to monitor end-to-end warehouse and inventory processes producing high-quality technical papers and executive-level presentation materials for senior leadership.
Process Improvement & Risk Mitigation
- Identify process gaps, control weaknesses, and operational risks within warehouse workflows.
- Drive continuous improvement initiatives using technology, automation, and best practices to strengthen internal controls to enhance reporting efficiency and minimize operational errors.
- Collaborate with logistics, customs, and freight forwarders to ensure smooth execution of technical and regulatory requirements.
Requirements
- 5–10 years of relevant experience in supply chain, logistics, warehouse operations, inventory management, analytics, or related fields, preferably within large-scale or multi-site operations.
- Bachelor’s Degree in Supply Chain Management, Logistics, Operations Management, Engineering, Analytics, Data Science, or a related discipline.
- Strong experience in warehouse operations, inventory control, supply chain analytics, and logistics governance.
- Proven experience in audit, compliance, and process governance within a logistics or supply chain environment.
- Experience managing large-scale inventory operations involving multi-location warehouses and 3PL (Third-Party Logistics) vendors.
- Hands-on experience with Inventory & Warehouse Management Systems (WMS), including SAP and vendor-managed WMS platforms.
- Strong knowledge of inventory control and reconciliation, including cycle counting, stock variance analysis, and GR/GI (Goods Receipt/Goods Issue) processes and flows.
- Advanced proficiency in Microsoft Excel, Power BI, and other data analytics and reporting tools, with the ability to translate data into actionable insights.
- Good understanding of inventory data analysis, KPI reporting, dashboard development, and operational performance monitoring.
- Basic knowledge of government regulatory requirements and procedures relevant to logistics and supply chain operations, including Royal Malaysian Customs Department, SIRIM, and other relevant regulatory agencies.
- Strong analytical, problem-solving, stakeholder management, and communication skills, with the ability to work effectively across warehouse, logistics, procurement, vendors, and internal business teams.
